Email is a great tool that we all use, but getting notifications for every message that arrives in your inbox may be extremely frustrating; while it’s true that being a slave to your email isn’t good for your productivity, there are times when you need to respond quickly. To remain on top of them, though, you don’t need to keep a close eye on your inbox.

However, with Gmail, there are a number of options for keeping things quiet while still receiving notifications about critical messages.

Types of Gmail Inbox

Before we get into it deeply, let’s go over the various sorts of Gmail inboxes.

1. Default Inbox

The “Default” inbox, for example, makes use of Gmail’s tabbed design, which automatically filters messages into the appropriate categories: Primary, Social, Promotions, Updates, and Forums. Users can alter the labels by toggling them individually, save for the Primary box, and this is how Gmail is configured out of the box (albeit the “Forums” option is deactivated by default).

2. Priority Inbox

You can also set Gmail to utilize the “Priority” mailbox if you like. Many people choose to use the Default Inbox for personal email, whereas Priority is better for work emails.

Finally, there are a few more options: Important First, Unread First, and Starred First, to name a few. All of these are self-explanatory and, for the purposes of this lesson, function similarly to Priority Inbox.

Depending on whatever inbox you’re using, you’ll have to adjust your notification settings. So pick one that works best for you (you may use a different one for each account) and let’s get started.

Filters and labels can be used to personalize your notifications.

Construct your own custom filters to receive just emails that meet certain criteria. To get started, you’ll need to open Gmail on your device.

  • To begin, take the first step. Configure Custom Filters
  •  Click the cog symbol in the upper-right corner with the dropdown arrow, then select “Settings.”
  • Navigate to the “Filters and Blocked Addresses” tab from here.

  • A new box with many options will appear. Fill in the necessary information here depending on what you’re trying to accomplish—for example, if you want to receive notifications from a specific sender, enter their email address in the “To” field. Use the “Subject” or “Has the words” choices if you want to get notified for certain keywords.
  • When you’ve finished filling out all of the fields for your filter, click the “make filter with this search” option in the bottom right corner.
  • The next window allows you to customize a few more details, such as the ability to apply a label to the message automatically. Tick the “Apply the label” box, then select a label from the “Choose label” dropdown. Select “New label” because you’ll be creating a new label here.
  • Give your new label a name—something that relates to what it does is best, but you can call it anything you like. Just keep that in mind for later. When you’re finished, click the “Create” button.
  • Finally, if you like, you may apply this filter retroactively to all previous talks by checking the “Also apply filter to XX matching conversations” box. This will allow you to see everything related to the new filter in one place: under the newly generated label. Once you’ve done that, simply select “Create filter” from the drop-down menu.
